POSITION SUMMARY | Under minimal supervision from the Faculty Director of the Morrison Center for Marketing Studies and Data Analytics, provide financial, operational and administrative assistance to the Center. Manage the Morrison Center accounts, process expenses, submit travel reimbursement requests and purchase equipment. Coordinate hospitality, room reservations, catering, parking arrangements for guest and special events associated with the Morrison Center. Serve as the face of the Center, and the first line of communication to Anderson stakeholders, students, guests and visitors. Routinely maintain and update the Morrison Center website based on faculty requirements and instructions using the Anderson CMS. Provide superior customer service to faculty, students, the university community, and the general public. Perform clerical functions including copying, responding to correspondence, scanning, writing, proofreading and editing materials as directed. The Faculty Director will assign short and long-term tasks, in addition to activities surrounding the strategic mission of the Center. Assume complete responsibility for the Morrison Center office with minimal supervision from the Faculty Director. Assess and anticipate needs of the Center and the faculty served. Prioritize multiple tasks according to time sensitivity and importance. Apply general knowledge of Anderson/UCLA campus, policies, procedures and events to answer inquiries from students, faculty, coworkers and the general public. Direct inquiries to appropriate individuals or departments for further information or assistance. (E) 4. Edit Morrison Center web page upon request. Convert documents from Word, Excel and PowerPoint into an appropriate HTML format for for posting in the Center’s content management system. Use Faculty Database Application & Content Management System to post files according to established file name formats and folder organization. Work with Marketing and Communications to complete web changes, and fixes as appropriate. (E) 5. Apply detailed knowledge of the English language to proofread and edit copy. Correct grammar, spelling and punctuation errors. (E) 6. Edit layout and format for print and/or web publication. Check facts, test and correct flaws in print reproduction quality. Enforce copyrighted or trademarked reproduction restrictions and uphold consistency in coordinated communications. (E) 7. Manage archive and filing system of meetings and background information, project working files, unit reports and strategies, travel, and correspondence, for easy accessibility. Ensure continuity and follow through in future meetings. (E) 8. Serve as primary contact and account manager for services, including but not limited to UCLA and UCLA Anderson offices, such as Building Services, CS Response, IT Services, and others when needs arise, FedEx, DHL, and other carriers. (E) 9. Train new faculty, staff and guests to standard office protocol, including voice mail, email, parking, recharge account information, ordering supplies, reimbursement and Anderson procedures. (E) 10. Enforce the University's policy regarding the reproduction of copyrighted materials. (E) 11. Plan events ranging from simple to complex. Plan the budget, roles, deadlines, goals and special instructions as guided by the faculty director. Create action item checklist, projected versus actual budget spreadsheets, marketing plan and vendor/venue options. (E) 12. Manage and update contact databases, send out email communications on behalf of the Morrison Center. (E) 13. Serve as spokesperson for the Center when required and assist in handling informational meetings and calls with constituents interested in learning more about the Center. This role requires comfort and professionalism in public speaking. (E) | 30% | Strategic Planning & Thought Leadership | 1. Assumes responsibility, under the supervision of the Faculty Director, for the Center’s development, implementation, and oversight of programs and activities. (E) 2. Oversees programs, relationships, and initiatives designed to provide UCLA faculty, students, alumni, and industry professionals with world-class marketing and thought leadership opportunities. (E) 3. Serves as the Center’s senior administrative lead, managing budget, personnel, marketing and communications, technology, development (fundraising), strategic planning, and both internal and external partnerships. (E) 4. Works closely with the Faculty Director, Center Chair, and affiliated faculty to execute Center objectives and priorities. (E) 5. Collaborates with other executive directors and administrators to integrate and support school-wide programmatic initiatives. (E) 6. Reports directly to the Faculty Director of the Center; maintains a close, transparent, and collaborative working relationship. (E) 7. Leads the coordination and execution of strategic and long-range planning efforts in collaboration with the Faculty Director, supporting the development of the Center’s curricular, research, publications, industry outreach, fundraising, student, and alumni programs. (E) 8. Proactively cultivates partnerships with schools, departments, centers, and major program initiatives to enhance the Center’s visibility and influence. (E) 9. Assists the Faculty Director in refining and implementing the Center’s strategic vision with a mission of continuous improvement and growth. (E) 10. Develops and maintains an expanding network of industry contacts to serve as mentors, collaborators, and providers of student internships. (E) 11. Plans and organizes showcase events and conferences to attract broad audiences and generate revenue through sponsorships and registrations. (E) 12. Leads efforts to identify and develop new revenue streams for the Center through board engagement, sponsorships, and partnerships. (E) 13. Promotes the Morrison Center as a thought leader in Marketing and Data Analytics education through participation in conferences, panels, and professional events. (E) 14. Establishes and sustains a broad range of relationships with business, community, and funding organizations that can serve as partners in advancing the Center’s objectives. (E) 16. Works independently with sound judgment and minimal supervision while ensuring all operations align with the Faculty Director’s strategic direction. (E) | 20% | Budget and Personnel | 1.Must perform financial analysis, planning, preparation, monitoring and administration of all Center accounts. Update Faculty Director and research faculty on account balances monthly or more frequently to prevent overspending and losses. Assign project codes to facilitate account tracking and reporting. Retain and organize financial records for the prior fiscal year according to Business Office requirements. Prepare financial reporting documents for Faculty Director to present at meetings with the Dean, and Faculty meetings. Reconcile ledgers on a monthly basis; take corrective action on financial entries when necessary. Prepare all budgetary projections for the Center and effectively manage the fiscal closing process. Prepare monthly variance reports that show the original budget, running budget, YTD actual expense and variance. (E) 2. Apply working knowledge of University policy to train faculty and guests of reimbursement eligibility. Confirm fund balance on QBD/OFSR online reports. Notify faculty if funds are insufficient to cover the expense. (E) 3. Use BruinBuy for limited value order and reimbursements. Purchase office supplies to keep inventory levels adequate for anticipated demand. Make large purchases in accordance with University policy. Most notably, secure approval from the Business Office for purchases over the permissible AP limit; contact UCLA's Purchasing department for market research regarding large equipment purchases such as computers and copiers. Process reimbursement requests. (E) 4. Ensure timely processing of reimbursement requests (typically within 3 business days for domestic travel and 5 business days for international travel). (E) 5. Enroll in appropriate training classes to develop detailed knowledge of Anderson-supported software and university financial systems.(E) 6. Provide training and troubleshoot issues related to computing and financial systems problems for Morrison Center. Apply working knowledge of Anderson supported software and network structure to answer questions and resolve obstacles. Escalate advanced issues to computing services. (E) 7. Monitor research grants awarded to UCLA Anderson faculty and students. (E) 8. Maintain individual records of each grant recipient's use of funds. (E) 9. Oversee the Center's annual operating budget and ensure that financial resources will cover anticipated expenses. (E) 10. Approve and monitor daily expenses for staff and faculty reimbursements, vendors, contacted services, and all other operating expenses. (E) 11. Oversee individual program budgets for large-scale conferences, events, activities, and grants. (E) 12. Co-manage the Morrison Center budget; develop external income sources; and pursue business contract opportunities within the university (E) 13. Present the annual budget to the CFO; develop vetted requests for major initiative funding. (E) 14. Review monthly ledgers and ensure accuracy and legitimacy of operating and personnel expenses; plan and manage expense allocations in various accounts. (E) 15. Directly interview, hire, and supervise study worker with approval from the Faculty Director or HR as required. (E) | 20% | Board and Development | 1. Serve as a knowledgeable and professional representative of the Center, maintaining the confidence of Board members, alumni, industry partners, faculty, and administrators. (E) 4. In partnership with the Faculty Director, assist in the implementation of short- and long-term fundraising strategies to secure major gifts from individuals, alumni, foundations, and corporations; manage and track the identification, cultivation, solicitation, and stewardship of gift prospects. (E) 5. Coordinate opportunities for faculty, academic leadership, and board members to engage with potential donors, collaborators, and sponsors. (E) 6. Maintain effective donor stewardship practices, ensuring consistent and timely communication with donors through correspondence, meetings, events, and recognition opportunities. (E) 7. Lead the coordination and evaluation of major and annual gift opportunities, taking initiative to identify potential donors and propose appropriate giving vehicles in consultation with the Faculty Director and Anderson Development team. Support the planning and execution of Board meetings and related Center events (e.g., conferences, symposia, and business community outreach activities) to strengthen stakeholder engagement and enhance the Center’s reputation. Take ownership of expanding external partnerships, sponsorships, and other revenue-generating opportunities that advance the Morrison Center’s mission and visibility, while keeping the Faculty Director informed and strategically aligned. Works independently with sound judgment and minimal supervision and is responsible for the day-to-day operations and overall administration of the Morrison Center, ensuring all activities align with the Faculty Director’s strategic direction and priorities.
