POSITION SUMMARY | The Center Administrator serves as the executive assistant for the Associate Vice Provost (AVP) of the Semel Healthy Campus Initiative (HCI) Center at UCLA within the Chancellor's Organization. This position provides the highest level of executive administrative support for the AVP including managing the AVP's executive travel and meeting schedules; attending meetings with the AVP and providing notetaking and other pertinent functions to ensure all projects are kept on task, and providing coordination and oversight for signature Semel HCI Center projects, programs, and events. This role requires the incumbent to exercise significant judgement, discretion, and organizational acumen to successfully provide high-level assistance and coordination as this position is responsible for the implementation of the AVP's vision for health and well-being for the UCLA community (including all faculty, staff and students), and the evolution of a culture of health at UCLA, within the UC system, in the state, in the nation and world-wide. | | | |
Department Summary | The goal of the Semel Healthy Campus Initiative (HCI) Center at UCLA is to improve the health and well-being of the UCLA community through the development of new ideas and expansion of existing programs in education, service, and research. Semel HCI Center serves as an incubator for innovative well-being interventions which provide students, faculty, and staff with knowledge and the opportunity to expand their well-being with tools to attain success in their professional, personal, and academic lives. Semel HCI Center’s staff conducts its work with a broad network of supporters which include senior leadership, deans, vice chancellors and a myriad of faculty, staff, student leaders, and collaborators at UCLA, UCOP and beyond. Semel HCI Center’s work is interconnected at all levels among all stakeholders and through a collaborative approach, the Center strives to create a work environment based on respect, kindness, inclusiveness, consideration and professionalism in which each team member focuses on utilizing and maximizing their strengths to contribute to Semel HCI Center’s success. Each core staff member is responsible for their primary area of focus with the understanding that the product of their collaborative efforts, supporting one another as a team, are of greater value to Semel HCI Center’s contribution to the University’s strategic plan than the sum value of everyone’s solitary role. Thus, this incubator model allows Semel HCI Center to succeed with a small core staff. |
Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Executive Support 1: Contributing to the Productivity and Effectiveness of the AVP | • Manages the daily meeting schedule/calendar for the AVP. • Plans and directs administrative, operational, and financial activities for the AVP. • Monitors the flow of information and project status for the AVP to ensure key projects and meeting information are on task. • Organizes, prioritizes, and assists AVP in the decision-making process by providing pertinent information and updates related to projects and communication with campus and external partners. • Support UC, UCLA, and Semel HCI Center strategic initiatives and projects. | 25% | Executive Support 2: Contributing to the Productivity and Effectiveness of the AVP | • Contribute to strategic planning and participates in initiative implementation. • Acts as point of contact for AVP with staff, HCI leadership, HCI steering committee members and other stakeholders. • Keep AVP apprised of any inquiries in a timely manner so the AVP can determine the proper course of action. • Provide communications support in the form of drafting and editing emails, letters, reports, internal and external communications as well as other support according to circumstances and needs. | 25% | Center Operations 1: Responsible for the daily organization and functioning of the Center | • Conduct complex administrative analysis requiring knowledge of University administration organization, and practices to evaluate issues around the implementation of new projects and initiatives with few or no precedents to develop recommendations for implementation that involve collaboration across departments and disciplines which follow University policy and procedures. • Direct execution of operational plans and projects by coordinating collaboratively across stake-holder organizations in support of projects, activities and programs related to the Semel HCI Center functional areas. | 10% | Center Operations 2: Responsible for the daily organization and functioning of the Center | Establish and manage operational processes and procedures; monitor status of the Semel HCI Center to identify areas to improve processes and to coordinate organizational procedures for continual optimization of efficiency and productivity; review, design, develop and implement system improvements to accommodate changes spurred by growth and to reflect the dynamic evolution of the Semel HCI Center. Foster and maintain supportive working relationships with Semel HCI Center constituents (including, pod leaders, graduate student researchers, undergraduate staff and campus partners) to ensure all work is in alignment with the Semel HCI Center mission through discreet, diplomatic interaction with senior campus management, faculty, staff at all levels, students, UCOP staff, and personnel. | 10% | Center Operations 3: Responsible for the daily organization and functioning of the Center | Develop and maintain cross-departmental relationships to create smooth pathways to success: Build relationships across diverse campus units with key personnel and constituencies to foster long-term collaborative partnerships and cooperative relationships critical to Semel HCI Center's growth and success in permeating life at UCLA. | 10% | Center Operations 4: Responsible for the daily organization and functioning of the Center | Personnel management and staff development: Contribute to the development of personnel plans to meet staffing needs to meet Center goals; develop job descriptions; lead hiring process.
