POSITION SUMMARY | Provides high level analytical services and administrative management to the Assistant Vice Chancellor for Academic Affairs and Personnel, the Director of Academic Affairs and Personnel, and the Manager of Training and Resources. The incumbent independently analyzes works with campus stakeholders to ensure compliance with academic personnel processes and procedures as they pertain to academic recruitment, academic personnel systems, and academic policy. The incumbent serves as one of the central points of contact on campus for policy and process questions and directly provides analysis and solutions to campus stakeholders. Serves as a subject matter expert for the Academic Affairs and Personnel Office with expertise in high-stakes personnel actions. | | | |
Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Academic Personnel | 1. Manage the Institutional Reference Check (IRC) process for the campus. Provide timely review and responses to campus stakeholders as part of the academic hiring lifecycle. As appropriate inform the AVC and Director of any issues during the IRC process and work with campus stakeholders and candidates to reach timely resolutions. (E); 2. Serve as an AAPO reviewer for the campus Employee Misconduct Disclosure (EMD) process. As appropriate inform the AVC and Director of any issues during the EMD process and work with campus stakeholders and candidates to reach timely resolutions. (E) 3. Manage the academic search processes for AAPO, including open searches, search waivers, and exemptions. (E) 4. Review all requests for academic searches through the various steps, ensuring compliance with policy and campus procedures and ensuring no conflicts with existing Collective Bargaining Agreements. Work with campus stakeholders to correct as necessary before final approval of each step. As appropriate inform the AVC, Director, and Manager of any issues. (E) 5. Review all requests for academic search waivers ensuring compliance with policy and campus procedures and ensuring no conflicts with existing Collective Bargaining Agreements. Conduct regular audits of search exemptions ensuring compliance with policy and campus procedures and ensuring no conflicts with existing Collective Bargaining Agreements. As appropriate inform the AVC, Director, and Manager of any issues. (E) 7. With the Manager of Training and Resources, develop and implement trainings for faculty involved in search committees. (E) | 40% | Opus/UC Recruit/UC OATS | 1. Triage questions that come into the Opus/Recruit/OATS Help desk. Assess/answer and/or forward questions as appropriate (i.e.; technical issues, departmental questions, AAPO, etc.). In conjunction with the Manager of Training and Resources, review questions and develop/update FAQs as necessary. (E) 2. Serve as one of the primary policy and procedure contacts for help desk questions. (E) 3. Develop training materials for a variety of stakeholders, including faculty, departments, Chair and Deans. Update materials on an ad hoc and annual basis. Ensure integration of Opus, Recruit, and OATS training materials into current suite of Academic Personnel courses. (E) 4. With the Manager of Training and Resources, train campus staff on Opus/Recruit/OATS. (E) 5. Serve as the primary point person to ensure policy changes to the CALL and APM are disseminated to the Opus team in a timely manner and ensure seamless integration with the business logic. In consultation with Director and AVC for Academic Affairs and Personnel conduct annual reviews of The CALL to ensure correct language and alignment (as applicable) to the systemwide APM and current collective bargaining agreements. Update The CALL in a timely manner and ensure campus stakeholders are notified of substantive changes. (E) 2. Monitor use of electronic faculty information systems (Opus, UCOATs, etc.) by department and deans office academic personnel staff to provide advice, guidance, and when necessary, trainings on system use. (E) 3. Assess the campus-wide academic personnel training courses and recommend updates/additions/changes on an annual basis to the Director and AVC for Academic Affairs and Personnel. Identify gaps in trainings and process to recommend new organizational procedures and practices to the Director and AVC for Academic Affairs and Personnel. (E) 4. Serve on systemwide workgroups on an ad hoc basis for the UCLA Academic Affairs and Personnel Office using high level knowledge base on the specialized topics under review. (E) | 30% | | | | | |
