POSITION SUMMARY

Reporting to the Manager of People Operations, the Academic Personnel Manager oversees all aspects of academic personnel administration for UCLA Extension instructors and related classifications. This role ensures compliance with UC and UCLA Academic Personnel Policies (APM and CALL), manages recruitment and contract processes, and partners with campus stakeholders to maintain equitable and inclusive practices. The position serves as a strategic advisor on policy interpretation, compensation structures, and operational enhancements while fostering instructional excellence and professional development.

Excelling in quality, innovation, and impact, UCLA Extension (UNEX) is one of the top providers of continuing and professional education in the United States, offering programs and classes to more than 50,000 students per year through approximately 4,500 classes and certificate programs to meet the professional development, continuing education, and personal enrichment needs of the full spectrum of traditional, nontraditional, domestic, international, professional, and continuing education students throughout and beyond Los Angeles.

Policy Stewardship & Compliance

• Collaborate with Campus AAPO on compliance, policy application, interpretation, and accountability for all academic classifications.

• Ensure compliance with collective bargaining agreements and UCLA standards, including mandatory trainings and academic integrity requirements.

• Coordinate instructor contractual processes and maintain adherence to UNEX standard operating procedures.

• Identify and promote continuing education opportunities for instructors.

Academic Personnel Administration

• Develop standardized hiring processes and collaborate with academic units to build diverse, qualified instructor pools.

• Manage HR Generalist involved with instructor hiring and onboarding. Oversee instructor hiring, contract agreements, processing payments and termination processes to ensure compliance with University, state and federal requirements.

• Collaborate with People and Culture leadership and academic programs to ensure equitable hiring practices and compensation structures.

• Monitor payroll accuracy and eliminate discrepancies by centralizing processes within People Operations.

• Oversees the review of discipline & discharge, complaint & grievance resolution for instructors in partnership with APO

• Oversee onboarding and orientation programs in partnership with the Teaching and Learning unit.

• Establish evaluation protocols beyond student feedback, including mid-term and end-of-term assessments. Manage performance review programs, promotion cases, and merit increase processes.

• Foster inclusion of instructors in UCLA Extension’s culture and initiatives.

Data Analysis & Reporting

• Track and analyze academic personnel demographic data to inform equity and inclusion strategies.

• Monitor payroll accuracy and eliminate discrepancies by centralizing processes within People Operations.

• Perform post-audit review of on staff and instructors' personnel transactions processed by human resources staff to ensure that the data has been entered in accordance to UCPath requirements.

Strategic Advisory & Partnership

• Provides counsel and makes recommendations to the Dean and Academic leadership on policy interpretation, salary adjustments, and organizational enhancements.

• Partner with stakeholders to develop innovative, metric-based HR policies and practices that promote equity and inclusion.

• Serve as liaison between Academic Programs, People Operations, and campus partners to ensure alignment on compliance and business practices.
