POSITION SUMMARY

Under the general supervision of the HR Manager, the incumbent is responsible for the coordination and administration of personnel, payroll, and related human resources transactions for the department. The position provides administrative support for the full range of departmental personnel and appointments, including academic, student, postdoctoral, staff, and other employee and affiliate populations.

 

The incumbent ensures personnel, payroll, timekeeping, funding, and related administrative transactions are processed accurately and in a timely manner in accordance with University policies, collective bargaining agreements, established procedures, and departmental deadlines. The position serves as a resource to faculty, staff, students, and other departmental stakeholders and coordinates with School and central campus offices to research and resolve personnel, payroll, and related human resources matters within established guidelines, escalating complex or exceptional matters as appropriate.

Academic Personnel & Payroll Administration

1. Coordinate and process appointments and related personnel and payroll transactions for assigned academic, student, postdoctoral, and affiliate populations, including Graduate Student Researchers (GSRs), Teaching Assistants (TAs), Readers/Special Readers, Tutors/Remedial Tutors, Postdoctoral Scholars, and Visiting Graduate Researchers (VGRs). 2. Review appointment information and supporting documentation for accuracy, completeness, appropriate title, appointment percentage, effective dates, compensation, and funding prior to processing. 3. Process appointment actions, extensions, changes, separations, and other personnel transactions within established University and departmental deadlines. 4. Administer timekeeping and timesheet processing for assigned academic, student, postdoctoral, VGR, and staff populations. Review submissions for completeness and accuracy; identify and resolve discrepancies and follow up on outstanding time reporting as needed. 5. Maintain accurate personnel and payroll records and monitor transactions through completion. Research and resolve routine appointment, payroll, and timekeeping issues in coordination with departmental, School, and central campus offices. 6. Apply applicable University policies, procedures, and collective bargaining agreement provisions when processing assigned personnel and payroll transactions.

Payroll Funding & Financial Adjustments

1. Prepare and process Salary Cost Transfers to correct or redistribute payroll expenses to appropriate funding sources, ensuring transactions are supported by appropriate documentation and comply with University requirements. 2. Process Full Accounting Unit (FAU) changes and payroll funding updates for personnel appointments and distributions, verifying funding information, effective dates, and related transaction details. 3. Review payroll and funding information to identify discrepancies and coordinate necessary corrections with departmental fund managers, payroll personnel, and other appropriate campus partners. 4. Maintain supporting documentation for payroll funding transactions and assist with reconciliation, audit, and compliance inquiries as needed.

Staff Personnel & Administrative Records

1. Process assigned personnel transactions related to staff titles and appointments, including title and appointment updates and other approved personnel actions. 2. Maintain and update employee and affiliate information in the UCLA Campus Directory and applicable administrative systems to ensure accurate organizational and contact information. 3. Maintain organized and accurate personnel documentation and administrative records in accordance with University record retention, confidentiality, and information security requirements. 4. Respond to routine inquiries regarding personnel transactions, appointment status, documentation requirements, payroll processing, and established procedures.

Departmental Administrative Support

1. Coordinate and process parking requests for eligible employees and affiliates, including new requests, changes, and cancellations, in accordance with departmental and UCLA Transportation procedures. 2. Serve as a liaison with appropriate School and central campus offices to facilitate assigned personnel, payroll, and administrative transactions and resolve routine processing issues.  3. Support continuous improvement of departmental personnel and payroll processes by identifying recurring issues, maintaining procedural documentation, and recommending workflow improvements. 4. Provide backup and cross-functional coverage for departmental administrative functions, as needed, to ensure continuity of operations during staff absences, periods of increased workload, or other operational needs. 5. Perform other related duties and provide administrative support as assigned to meet departmental needs and priorities.
