POSITION SUMMARY | The UCLA Samueli School of Engineering (SEAS) is seeking a resourceful, organized, and service-oriented individual to serve as our Academic HR Analyst II. This position provides support to the School's academic personnel processes for our seven academic departments and associated Institutes. Under the direction of the Samueli Engineering Academic HR Manager I, the Academic HR Analyst II is responsible for providing employment, academic personnel service and human resources to ladder faculty in the Samueli School of Engineering. Incumbent uses appropriate processes to accomplish personnel actions including appointments, merits, promotions, Negotiated Salary Program (NSP), and completing tasks for the various UCLA systems, including but not limited to: OPUS, Interfolio, Faculty 180, L&S Dossier, OATS, UC Recruit, and UC Path. Incumbent also serves as a liaison with the benefits office for these employees, serves as preparer, reviewer and back up for both departmental-level and school-level systems. This is a highly visible position that requires sensitivity, knowledge of University academic personnel policies and procedures, University payroll systems, and organizational skills. | | | |

Key Responsibilities and Essential Functions | Function | Responsibilities | % Time | Academic Personnel and Payroll Administration | 1. Compile faculty dossiers and create faculty review actions in OPUS and Interfolio for submission. Set up and maintain merit/promotion/advancement/renewal files. Prepare cases for academic personnel actions and submit to the Academic Affairs and Personnel Office. 2. Ensure that personnel action dossiers meet standards set forth in the Academic Personal Manual before submitting them to the Academic Affairs and Personnel Office. 3. Create and maintain files, both electronic and paper, tracking the progress of each academic personnel action, to ensure that actions are on schedule. 4. Maintain and update the dossier database record on all faculty members assuring that all data is correct. 5. Prepare paperwork for academic personnel appointment approval and initiate hiring and payroll transactions in UCPath for Ladder Faculty. 6. Work with the faculty search committee to manage the search process in Academic Recruit including submitting faculty search plan, applicant pool and short list reports and closing out the position after the search. 7. Work with the search committee to post advertisements for faculty positions and any academic positions that requires to be advertised. 8. Coordinate with Faculty Search Committee. 9. Handle faculty appointment and review cases by soliciting evaluation letters from outside authorities as required for academic personnel actions. 10. Initiate Negotiated Salary Program (NSP) application and coordinate with Department MSO/Fund Manager for completion. 11. For NSP, verify compliance with Patent Agreement, Sexual Violence & Sexual Harassment Prevention Training, Outside Professional Activities reporting, and Lab Safety Training for approximately 75 faculty participants. 12. Handle Endowed Chair appointments including search waivers, coordinating searches, and track and handle renewal dossiers. 13. Utilizing University payroll systems, accurately and timely perform all transactions required to reflect personnel and payroll actions. 14. Establish and maintain all employee files in accordance to University policies and procedures. 15. Notify employees about their eligibility for review and request/compile materials necessary for the review process. 16. Ensure that all aspects of the academic review process are proceeding in a timely and coordinated fashion to AAPO deadlines. | 80% | Human Resources Services | 1. Maintain excellent communications and relations with all campus entities (CHR, Academic Affairs and Personnel Office, Payroll, UC Path Center) to facilitate the efficient handling and management of personnel actions between Samueli Engineering and these entities. 5. Develop schedules and timelines to ensure that personnel actions are undertaken and completed in a timely and efficient manner. 6. Serve as preparer, mandatory reviewer for all personnel/payroll actions. 7. Serve as benefits liaison to employees, answering questions and processing any requests, etc. in accordance with University policies and procedures. 8. Serve as a resource to department staff who process personnel actions in regards to procedures, policies, union rules, benefits, etc. 9.
