GENERAL DIRECTION - Indicates that the incumbent receives guidance in terms of broad goals and overall objectives and is responsible for establishing the methods to attain them. Generally the incumbent is in charge of an area of work, and typically formulates policy for this area but does not necessarily have final authority for approving policy.


POSITION SUMMARY

Provide personnel and analytical services  to the Assistant Vice Chancellor and Director of the Academic Personnel Office. The incumbent reviews and analyze academic personnel dossiers and supporting material for completeness and compliance with academic personnel policies. This position will be responsible for coordinating all communications for the Office of Academic Personnel (APO), receiving confidential materials, answering telephone calls, and meeting and directing visitors, as the initial point of contact for the office. This position coordinates office logistic services as needed.

Academic Dossier Management

Analyze academic dossiers for appointments, merit increases and promotion cases to ensure conformity with extensive policy guidelines of the UCLA CALL and the APM. (E)  Identify nonconformity to policy and procedures. Communicate and advise academic units to ensure appropriate submission of proposed actions, and re-submission or correction for non-compliance. (E)    Responsible for informing deans' offices of final outcome on personnel actions. (E)

Administrative Support

Represent APO to the academic community through telephone communication. Route calls to the appropriate staff. Provide phone coverage for the main line and for the Assistant Vice Chancellor. (E)  Receive and coordinate a large volume of academic personnel cases for review from other University offices. (E)  Provide coverage to the Opus/Interfolio helpdesk, triage and answer questions as appropriate. (E)  File coversheets for completed and approved actions.Conduct initial and post-audit review of sabbatical and leave requests. (E)  Coordinate calendar and meetings requests for the Assistant Vice Chancellor and Director. (E)  Make travel arrangements within UCLA policy and process reimbursement of travel expenses for the Assistant Vice Chancellor and Director. (E)  Order equipment and supplies for the Academic Personnel Office (E)

Academic Reports

Produce weekly reports for the Vice Chancellor, Assistant Vice Chancellor, and Director of Academic Personnel to assist with case management. (E)  Produce reports and manage the process of case assignment within the Academic Personnel Office. (E)
