POSITION SUMMARY

This is a full-time limited appointment, designed to provide the opportunity to learn the full scope of University academic personnel in a variety of environments. The Academic Personnel Coordinator will receive initial training from the central College Academic Personnel Office and rotate through a variety of academic departments within assigned division in the College of Letters and Sciences (Life Sciences, Social Sciences, Physical Sciences, Humanities or Division of Undergraduate Education). The rotation through departments will be chosen for training and career growth and will be closely monitored by the Assistant Dean of Academic Personnel & Operations and the Manager of Academic Personnel for the College. Under close supervision, the incumbent will: work on assigned cases; projects; understanding and interpreting collective bargaining agreements; understanding the Academic Personnel Manual; and successfully complete appropriate training courses offered through Campus Human Resources. The incumbent will review and analyze dossiers for completeness and adherence to policy, update and maintain the Academic Personnel Database, compile faculty academic activities, honors, teaching and research information to update dossiers; maintain records of search committee decisions, participate in meetings, and gather information needed to carry out academic personnel policies in accordance with departmental goals. Academic Personnel Transactions

Under close supervision, work on assigned tasks in one or more departments, to include:

ʉۢ Review and edit of dossiers prepared in the academic departments of College L&S for actions to appoint, promote and grant merit increases in all academic personnel series.

ʉۢ Analyze dossier content for weaknesses and omissions.

ʉۢ Analyze academic personnel records to determine eligibility for promotion, appraisals, merit increases, 5-year reviews, and 8-year limit reviews.

ʉۢ Record information in the Academic Personnel Database and OPUS/Interfolio accurately and to completion.

ʉۢ Receive and review electronic copies of personnel actions entered on the campus wide online payroll/personnel system.

ʉۢ Solicit information from faculty on activities, honors, teaching and research for inclusion in promotion dossiers.

ʉۢ Compile faculty dossiers. Set up and maintain reappointment/promotion files.

ʉۢ Make available applications files for review by departmental search committee members.

ʉۢ Maintain records of search committee decisions; participate in meetings, if necessary.

ʉۢ In consultation with DCISS, compile information and generate appropriate documentation required by foreign faculty to obtain the relevant entry visas for Temporary and Regular faculty positions, as well as visiting scholars/speakers.

ʉۢ Maintain electronic and paper files on apprentice personnel appointments.

ʉۢ Gather and analyze information needed to carry out academic personnel policies in accordance with departmental goals. Provide interpretation of policies and procedures as necessary or requested.

ʉۢ Compile, summarize, and analyze background materials for various meetings.

ʉۢ Compose correspondence, departmental directives, and analytical reports for Chair's signature.

ʉۢ Take all classes or training required for Academic Personnel, UCPath, OPUS, Interfolio, UC benefits, and visas.

At the end of the appointment, the Academic Personnel Coordinator should be able to demonstrate:

ʉۢ General knowledge of university academic personnel policies and procedures.

ʉۢ Knowledge of informational resources available on campus along with an ability to discern accuracy of information relayed.

ʉۢ General knowledge of dossier preparation and visa requirements.

ʉۢ Working knowledge of UCPath, OPUS, Interfolio and university benefits.

ʉۢ Payroll transactions, including analyzing/reviewing data for accuracy and working with other offices to resolve discrepancies.

ʉۢ Knowledge of University policy concerning confidentiality of records.

ʉۢ General knowledge of immigration regulations, tax treaties and tax withholding regulations.
