POSITION SUMMARY

The UCLA Samueli School of Engineering (SEAS) is seeking a resourceful, organized, and service-oriented individual to serve as our Academic HR Analyst I. This position provides support to the School's academic personnel processes for our seven academic departments and associated Institutes. Under the direction of the Samueli Engineering Academic HR Manager I, the Academic HR Analyst I is responsible for providing data entry for ladder faculty academic personnel cases and annual updates in the Samueli School of Engineering. Incumbent uses appropriate systems to process personnel data entry and completing tasks for the various UCLA systems, including but not limited to: OPUS, Interfolio, Faculty 180, L&S Dossier.

Academic Personnel Dossier Data Preparation Administration

1. Create faculty review actions in OPUS and Interfolio. 2. Create and maintain files, both electronic and paper, tracking the progress of each academic personnel action. 3. Maintain and update the dossier database record on all faculty members assuring that all data is correct. 4. Establish and maintain all employee files in accordance to University policies and procedures. 5. Assist in managing quality control assurance of support staff in dossier preparation, based on compliance with relevant UC, campus, and Samueli Engineering policies and procedures, as well as Samueli Engineering standards for best practices. 6. Organize review, revision and resubmission of dossier material to address weaknesses and omissions. Coordinate acquisition of additional materials from department staff and faculty for inclusion in dossiers prior to initial submission. 7. Work closely with Samueli Engineering staff and faculty administrators. 8. Oversee storage and protect access to all confidential paper and electronic academic personnel files, dossiers, and history records. Develop and maintain a calendar for meeting records retention and disposal regulations. Coordinate with SEASnet to appropriately secure and archive electronic records. 9. Use OPUS to monitor academic personnel actions. Generate case specific and aggregate reports from OPUS to benchmark productivity at the department and unit level. 10. Use OPUS and Interfolio to retrieve and review electronic records of personnel actions. Coordinate revision and resubmission of actions to correct errors and amend data. 11. Review and verify accuracy of the teaching records. Work with departmental staff to maintain departmental summary sheets for the Dean’s Office.

1. Collect departmental faculty relocation expense paperwork for new faculty and any necessary associated documentation. 2. Special projects assigned by the Director and/or Assistant Director to provide administrative support to the Dean or Associate Deans.
